Berkshire Healthcare NHS Foundation Trust cut documentation turnaround from 20 days to 3, an 85% reduction, by generating 25,000 clinical letters in under a year with T-Pro.

Berkshire Healthcare NHS Foundation Trust has long been recognised as a digital-first leader, consistently seeking out innovative partners to help deliver its vision of smarter, safer, and more efficient care. In one of the NHS’s most complex care environments, community, children and mental health services, the Trust knew that fragmented, paper-based, and inconsistent documentation workflows were holding back staff productivity and delaying communication with patients and GPs.

In line with its digital strategy, Berkshire turned to T-Pro as a partner to modernise documentation across services. Within just 12 months, the Trust cut turnaround times by 85% (from 20 days to 3), generated over 25,000 clinical letters, and empowered staff across 25 departments to work more effectively using digital dictation and real-time speech recognition.

Oliver Gibbs, Digital Technologies Manager, said:
“We’re always on the lookout for new and innovative technology to empower our staff and patients, so we can continue to provide outstanding care. As Part of our Trust’s Digital Strategy, we procured T-Pro’s digital dictation and speech recognition solution, which is used in conjunction with our Rio EPR, to improve staff productivity, letter turnaround, and ultimately delivery of patient care”.

The Challenge: Growing Demand, Fragmented Workflows

The Trust operates in one of the most complex and high-pressure care settings, community, children’s and mental health services. With clinicians spread across multiple locations and patient needs often spanning physical, psychological, and social dimensions, documentation isn’t just a compliance task; it’s essential to continuity and quality of care.

With a digital-first mindset, Berkshire Healthcare NHS Foundation Trust needed more than just new solutions. It needed a scalable platform like T-Pro that unified documentation, integrated seamlessly with Access Group Rio, and supported diverse workflows. Through its partnership with T-Pro, the Trust transitioned systems to our modern platform, delivering a seamless rollout, minimising delays, and enabling a documentation process designed for real-world clinical care.

Berkshire’s Digital-First Advantage with T-Pro

Berkshire Healthcare NHS Foundation Trust is nationally recognised for delivering high-quality, person-centred care. Ranked as the 3rd-best performing non-acute NHS Trust in England, and the first combined mental health and community Trust to receive an ‘Outstanding’ CQC rating, it continues to lead in innovation, digital maturity, and operational excellence.

In line with the NHS’s 10-year plan and its own digital-first strategy, Berkshire is transforming how clinical documentation supports care by introducing two core modules, AI-powered Speech Recognition and Digital Dictation - the Trust implemented a replacement and scalable platform that improves usability, accuracy, and integration.

Berkshire is embracing new technologies to stay ahead by reinforcing their digital-first approach across the Trust, without losing sight of what matters most: care. Deployed across 25 departments, T-Pro enables clinicians to document in real time, directly within the Access Group Rio EPR, supported by secure, bidirectional API messaging.

Embedded in Clinical Workflows, Delivering Measurable Impact

With T-Pro supporting the Trust’s digital-first strategy, Berkshire Healthcare NHS Foundation Trust is seeing tangible results:

✔️Clinicians save time and reduce burnout — documentation turnaround times dropped by 85%, from 20 days to just 3, freeing clinicians to focus more on patient care.

✔️IT teams simplify and scale securely — replacing systems with a single platform that integrates seamlessly with the Rio EPR and supports over 25 departments.

✔️ Operations cut costs and boost efficiency — more than 25,000 clinical letters generated in under a year, helping clear backlogs, reduce administrative overheads, and accelerate communication with GPs and patients.

By embedding T-Pro into workflows, Berkshire has not only improved clinical productivity but also established measurable cost-saving efficiencies across services.

The Trust is now exploring Ambient AI to further modernise how clinical notes are captured—turning everyday conversations into structured, actionable insights.

T-Pro is proud to support forward-thinking partners like Berkshire Healthcare NHS Foundation Trust, who are tackling real-world challenges with practical innovation—proving that when digital solutions are designed around people, they deliver results that matter.

One Platform, Many Wins: Berkshire Delivering Speed & Scale

The deployment of the T-Pro platform has significantly reshaped how clinical documentation is created, approved, and delivered across services at Berkshire Healthcare NHS Foundation Trust.

In under a year, the Trust used T-Pro to generate more than 25,000 letters and leading the transformation were departments like IPASS, Adult Mental Health, and Community Paediatrics. IPASS alone produced 8,750 letters, the highest across the Trust, by enabling clinicians to bypass secretarial workflows and complete clinical writing directly. Adult Mental Health Services followed with 5,562 letters, and Community Paediatrics closely behind with 5,530.

Together, these departments showed that when documentation is powered by clinician-first solutions like T-Pro, productivity increases, bottlenecks disappear, and communication becomes faster and more consistent across services. (Refer to Figure 1)

Flexibility also drove adoption. With users adopting T-Pro’s mobile app, flexibility proved critical—particularly for community-based staff documenting on the move. These gains reflect more than just speed—they mark a shift in mindset. With T-Pro now embedded in daily workflows, clinicians are engaging more, IT teams are reducing legacy complexity, and operational leads are addressing backlogs and bottlenecks.

Rebecca White, Digital Technology Project Manager, Berkshire Healthcare NHS Foundation Trust, added:
“Working with T-Pro has felt more like a partnership than a procurement. As a project manager, it’s been invaluable to collaborate with a team that listens, understands, and responds to the real needs of NHS Trusts. What stands out is their willingness to take on board our feedback and improve their processes and features accordingly. Attending the T-Pro User Forum reinforced that sense of community, connecting with peers across Trusts, sharing insights, and seeing how our collective input helps and shapes the platform.”

This cultural momentum was supported by clear time savings. From November 2024 to September 2025, documentation time dropped sixfold, from nearly 20 days to just over 3. This 85% reduction in average completion time reflects more streamlined workflows, faster handoffs between clinicians and secretaries, and quicker movement from dictation to delivery.
